Job Title: Temporary Grant Specialist

Assignment: Temp until the end of 2021 and PERM in 2022

Location: 100% remote (this role will always be remote) and open to nonlocal candidates (no west coast candidates due to the team working with international employees)

Details:

  • Bachelors Degree preferred with 2-3 years of relevant experience
  • Coordinates and helps prepare meeting materials, including agenda preparation/distribution, scheduling, collecting/sending meeting pre-reads, and drafting of meeting minutes for monthly and ad-hoc Global Grants Review Committees and Global and Regional Investigator-Sponsored Studies Committees.
  • Leads the drafting, routing, and storing of Letters of Agreement in designated Vertex grants, contracting, and financial systems
  • Initiates payment process for Grants, including opening of purchase orders, and ensures payment information is entered into Request Management System and Vertex Contracting Tool (VCT) to also track Global Spend Transparency payments

looking for a Grants Specialist to join our Medical Affairs Department. The Grants Specialist is responsible for providing support for the Grants, Sponsorships, and Investigator-Sponsored Studies (ISS) programs in Global Medical Affairs in partnership with cross-functional global teams. This position will work closely with this team to ensure activities are executed compliantly and according to global, regional, and local guidelines. This individual will also support for the Vertex Award Programs. This remote role will report to the Associate Director, Grants and Investigator Sponsored Studies in Global Medical Information and Operations.

  • Coordinates and helps prepare meeting materials, including agenda preparation/distribution, scheduling, collecting/sending meeting pre-reads, and drafting of meeting minutes for monthly and ad-hoc Global Grants Review Committees and Global and Regional Investigator-Sponsored Studies Committees.
  • Leads the drafting, routing, and storing of Letters of Agreement in designated Vertex grants, contracting, and financial systems
  • Initiates payment process for Grants, including opening of purchase orders, and ensures payment information is entered into Request Management System and Vertex Contracting Tool (VCT) to also track Global Spend Transparency payments
  • Ensure Sponsorship and Corporate Membership payment information is uploaded into Request Management System
  • Performs follow-up activities for Accounts Payable and Global Spend Transparency, as necessary
  • Maintains and updates Team Intranet (Vnet) page
  • Support cross-functional relationships with Medical Affairs, Patient Engagement, Research, Legal, Corporate Compliance (OBIE), Finance, and other groups
  • Provide administrative management for the Vertex Award Programs (Cystic Fibrosis Research Innovation Award [CF RIA], Cystic Fibrosis Vertex Innovation Awards [CF VIA], and Cystic Fibrosis Circle of Care)
  • Assist in the development of for grants, sponsorships, and ISS tracking, status reports, metrics and dashboards
  • Manage system user information in Request Management System
  • Serve as backup for grants, sponsorships, and ISS processing
  • Assist in the testing and implementation of research applications in Vertex's Request Management System
  • Other duties as assigned

Required Education Level

  • A minimum of a Bachelor Degree is required.

Required Experience

  • 2-3 years of relevant experience in grants, research administration, project management, or a relevant field.
  • Experience working in an office environment.

Required Knowledge/Skills

  • Strong communication skills (verbal and written)
  • Ability to work well in teams and focus teams on goals/key deliverables
  • Excellent project management skills
  • Ability to complete goals within allotted timeframes and deliver high quality results
  • Strong initiative and ability to identify issues and create solutions
  • Ability to use Microsoft Office programs (Word, PowerPoint, Excel, Teams) as well as online meeting platforms (Zoom and GoToMeeting)
  • Highly organized with a strong attention to detail, clarity, accuracy and conciseness

Preferred Knowledge/Skills

  • Experience working with one or more types of external funding requests (i.e. educational grants, corporate giving grants, sponsorships, corporate memberships, and/or ISS)
  • Basic knowledge of relevant guidelines including, but not limited to medical and regulatory affairs, drug development, FDA and regulatory guidelines (i.e., PhRMA guidelines, OIG, AMA, ACCME, EACCME, Sunshine Act, etc.) and compliance around External Funding Programs
  • Proficiency with Request Management systems
