This position will be in support of the Department of Recruitment and Admissions at the Uniformed Services University.

HJF is seeking a Commissioning Coordinator (Education Coordinator) to work directly with Education and Meeting Fund Managers, industry representatives and other HJF departments to manage HJF's education and training mission. This is the highest of two levels in the Education Administration series and is characterized by having full autonomy and independent decision making, while solving complex problems.

Responsibilities

    Maintains the web-based Department of Defense (DoD) Medical Examination Review Board (DoDMERB) Secure Applicant Repository and associated tools for applicant medical accessioning, status updates, and qualification. Promptly, regularly, and professionally communicates with the admissions team and candidates in the physical accessions process to ensure compliance with requests from DoDMERB, SMWRAs, and other entities.
  • Manages the review and processing of requests for exceptions to medical policy (known as waivers) by coordinating with DoDMERB, SMWRAs, and other USU and DoD points of contact.
  • Compiles applicant information; prepares documents for nomination of student candidates for appointment and submission to appropriate DoD agencies, Service Secretaries, the U.S. Coast Guard, and the U.S. Public Health Service; and coordinates for the appointment (scrolls) of potential students.
  • Verifies administrative and medical qualifications of applicants selected for admission, and coordinates with the admissions team, sponsoring military services, and the USU Brigade for commissioning and assignment orders.
  • Provides advice and guidance to potential applicants on medical accessioning standards in consultation with Brigade Surgeons/Service Medical Waiver Review Authorities (SMWRA) regarding whether a candidate's medical history may or may not be compatible with military service.
  • Prepares official correspondence; maintains the commissioning coordinator email, phone, applicant tracker, and applicant files; accurately and promptly collects documents, transmits records, and communicates with appropriate team members regarding commissioning; documents operating procedures and collaborates on continuous quality improvement of commissioning coordination.

Qualifications

Required Knowledge, Skills and Abilities

  • Must possess superior written and oral communication skills and have strong interpersonal and computer skills.
  • Can meet multiple deadlines and handle multiple priorities.
  • Must have the ability to facilitate proofreading of typewritten material and the ability to effectively communicate with a diverse group of people.
  • General knowledge of military accessions and higher education, and a general understanding of the USU organization, function, operations and procedures.
  • Experience in the Federal sector and within the DoD military educational, recruiting, or healthcare system is highly desirable.
  • Be able to accurately gather, analyze, and evaluate information concerning management processes, draw conclusions, and recommend appropriate action.
  • Driven for customer service, to include rapid, timely, professional, and accurate response to queries, and to finding solutions to problems encountered.
  • Exhibit skill in data management and fact-finding to identify and organize relevant information, relate the information to the task/problem at hand, summarize the information, share relevant information with appropriate parties, and compare the facts to general principles or regulations to devise workable solutions.
  • Driven for teamwork and mission success.
  • Effective communication, attention to detail, and self-prioritization of workflow is essential.
  • Ability to obtain and maintain a T1 and/or CAC Public Trust Clearence.

Work Environment

  • This position will take place in an office setting.

Education and Experience

  • Associate's degree, required. Human Resources or Management related field preferred.
  • Minimum of 3-5 years of experience required.
